Just like on the field, clarity helps everything move better. These policies outline how we operate so you can feel confident registering for and attending events, or joining our programs.
Overview
Buku Events is committed to providing high-quality, competitive, and enjoyable tournament experiences for all participants. All teams, players, coaches, parents, and spectators are expected to follow these policies to ensure a safe, fair, and positive environment for everyone involved.
By registering for a Buku Events tournament, you agree to abide by all policies outlined in this document.
Registration and Team Requirements
Registration Process

All registrations must be completed through the official Buku Events registration system via LeagueApps
-
Registration is not complete until full payment is received
-
Teams must provide accurate roster information at the provided due date.
Tournament Roster Guidelines
-
Rosters and player invites (LeagueApps) are due by midnight on Wednesday the week of the tournament.
-
Any team that does not have a roster submitted BY THE START of the tournament on Saturday is not eligible for playoff brackets on Sunday (i.e., a team that goes 3-0 on Saturday but does not have a completed roster submitted will be placed in the consolation bracket on Sunday).

Team rosters are capped at 25 players per team.
-
Players may only be rostered on one team per tournament.
-
If a team director/coach needs a player to "play up" for a team in a DIFFERENT division to supplement a roster with low numbers, this must be clearly communicated to and approved by the tournament directors.

Goalies are the only position for which a player may be approved by tournament directors to play for more than one team over the course of an event. This is only allowed as a last resort and must be clearly communicated to and approved by tournament directors.

Teams in playoff brackets may be randomly "roster checked" by tournament staff on Sunday to ensure the integrity and fairness of that division.
Purpose: These guidelines are designed to address concerns about players "floating" between multiple teams during an event, ensure fairness of play, and uphold division integrity.
Violations: Any violations of the above guidelines by a program/team will be handled on a case-by-case basis and may result in the forfeiture of a game and/or forfeiture of eligibility to participate in playoff brackets on Sunday.
Age Verification

Honor policy - We play this game because we love it. Please respect the integrity of the game by honoring age and division requirements.

Teams and players must meet the age requirements for their registered division
-
All players must have USA Lacrosse membership as part of the age verification process.

Buku Events reserves the right to request proof of age (birth certificates, USA Lacrosse #, etc.) at any tim.

Playing in an incorrect age division may result in team disqualification and forfeiture of all games.
Team Check-In
-
Teams must check in at the tournament headquarters during the first day of the tournament.
-
Check-in process will be to be sure all teams/players are eligible to participate.
Competition Rules and Format
Game Rules
-
Current U.S.A. Lacrosse and NFHS Rules for the different age groups will be used on the field for all Buku Events unless otherwise stated in the tournament rules.

Age-specific modifications (ball size, field size, game duration) will be communicated in advance
-
Tournament-specific rules will be provided to all teams prior to the event as well as available on each tournament webpage.
Tournament Format

Tournament format (pool play, bracket, round-robin, etc.) will be specified in event details
-
Game schedules will be published on the Buku Events website and via the Tourney Machine app
-
Buku Events reserves the right to modify tournament format based on the number of registered teams
Standings and Tiebreakers
In the event of tied records, the following tiebreaker system will apply (in order):

Coin Toss

In the event there is a 3 way tie, where each team has beaten each other, goals against will be the first tie breaker, then goal differential, etc. Once the three way tie is broken, the remaining two will then go back down the list starting with head to head, then GA, GD, etc.
Game Timing
-
Games will run in 40, 45, 50, or 60 minute time blocks and breakdown of quarters or halves will be specified in tournament details and rules.

In the event of a field delay, referees may shorten future 2nd halves of games if they fall outside of a 4 goal differential.
Conduct and Sportsmanship
Code of Conduct
All participants (players, coaches, parents, and spectators) are expected to:

Display respect for referees, opponents, and tournament staff

Use appropriate language at all times
-
Follow facility rules and regulations
-
Maintain a positive and supportive atmosphere
-
Promote fair play and good sportsmanship
Zero Tolerance Policy
Buku Events maintains a zero-tolerance policy for the following behaviors:

Verbal or physical abuse of referees, players, coaches, or tournament staff
-
Threatening or intimidating behavior
-
Discrimination based on race, gender, religion, or any other protected characteristic
-
Use of profanity directed at others
-
Destruction of property
-
Illegal substances at tournament venues
-
Alcohol consumption is at the discretion of the tournament venue
Disciplinary Actions
Violations of the Code of Conduct may result in:

Warnings from tournament officials
-
Ejection from the current game
-
Suspension from remaining tournament games
-
Removal from tournament facility
-
Forfeiture of games
-
Ban from future Buku Events tournaments
-
Referral to appropriate governing bodies
Spectator Behavior
-
Only registered coaches and players are allowed on the team sideline
-
Parents and spectators must remain in designated spectator areas
-
Coaching from the sidelines by parents is not permitted
-
Spectators must maintain a distance of at least 3 yards from the sidelines
-
Spectators are not permitted to loiter behind endlines of any field
-
Signs will be posted throughout the venue displaying each SHOT ZONE/DANGER areas to avoid injury from errant lacrosse balls.
Safety & Medical Policy
At Buku Events, the safety and well-being of every athlete, coach, official, spectator, and staff member is our top priority. We are committed to maintaining a safe, organized, and medically supported environment at all events.
On-Site Medical Coverage

A certified athletic trainer (ATC) or licensed medical professional will be present during all scheduled games and official event activities.
-
The medical team is equipped to respond to injuries, assess player readiness to return to play, and coordinate further care if necessary.
-
First-aid supplies and an automated external defibrillator (AED) will be available at designated medical tents throughout the facility.
-
Participants are responsible for bringing any personal medications (e.g., inhalers, EpiPens) and notifying the medical staff of any pre-existing conditions before play begins.
Emergency Procedures
-
In the event of a serious injury or medical emergency, 911 will be contacted immediately.
-
Event staff and field marshals are trained to assist emergency responders and direct vehicles to the proper field location.
-
All event venues have clearly marked emergency access routes and evacuation plans, which are reviewed with staff prior to the event.
Weather & Environmental Safety
-
Buku Events follows national and local weather safety protocols.
-
Lightning: All play will be suspended if lightning is detected within 10 miles. Play will resume only after 30 minutes without additional lightning strikes.
-
Heat & Hydration: Adequate water and shade will be available at each site. Teams are encouraged to bring their own coolers and hydration systems.
-
Air Quality: Air quality and field conditions are monitored, and play may be delayed, relocated, or canceled if conditions pose a health risk.
Concussion Protocol
-
Any player suspected of sustaining a concussion will be removed from play immediately and evaluated by a contracted certified athletic trainer.
-
The player may not return to play until cleared by a qualified healthcare professional in accordance with state concussion laws.
-
Coaches and parents are encouraged to review the CDC’s “Heads Up” concussion education materials before the event.
Injury Reporting
-
All injuries requiring medical attention must be reported to the on-site certified athletic trainer and documented with an incident report.
-
Serious injuries will be reported to Buku Events’ safety director for post-event review and follow-up.
Participant Responsibility
-
All participants must complete and sign a waiver of liability and medical release prior to competing.
-
Each team is responsible for verifying that all players are covered by active health or accident insurance.
-
Coaches are responsible for the conduct and safety of their teams at all times, both on and off the field.
Facility Rules and Regulations
Facility Access

Only registered participants and credentialed individuals are permitted in restricted areas
-
Non-participants must remain in designated spectator areas
Parking
-
Follow all facility parking regulations
-
Do not block emergency access routes
-
Carpool when possible to reduce congestion
-
Vehicles parked in violation may be towed at owner's expense
-
Buku Events does not profit from parking at any of our events. If parking requires payment, payment is made to the venue or city hosting the event
Prohibited Items
The following items are not permitted at Buku Events tournaments:

Weapons of any kind
-
Illegal drugs or substances
-
Alcohol (unless facility specifically permits in designated areas)
-
Pets (except certified service animals)
-
Tents or canopies that obstruct views or create safety hazards
Canopies
-
Pop-up tents and canopies are permitted only in designated areas as viewed on the tournament map provided in communication before each event.
-
Tents must be properly secured and not block walkways or emergency routes
-
Stakes may not be permitted on turf field surfaces
-
Follow all facility-specific guidelines regarding camping/overnight equipment
Food and Beverages
-
Outside food and beverages are generally permitted unless otherwise posted
-
Clean up all trash and dispose of it properly
-
Respect any facility-specific food and beverage policies
-
Concessions, when available, help support the facility and are appreciated
Smoking and Vaping
-
Smoking/vaping only permitted in designated areas, if any
-
Must comply with all local and facility regulations
Photography and Media
Photography Policy
-
Parents and spectators may photograph their own children during games
-
Commercial photography or videography requires prior written permission from Buku Events
-
Respect the privacy of other families and players
Social Media
-
Teams and individuals may post about their tournament experience on social media
-
Posts must comply with the Code of Conduct
-
Do not post content that is demeaning, discriminatory, or inappropriate

Buku Events Media

Buku Events may photograph, video record, or livestream tournament games
-
By participating, you consent to Buku Events using images and videos for promotional purposes

If you do not wish to be photographed, please notify tournament staff in writing
Awards and Recognition
Team MVP Recognition
-
Team MVPs will be acknowledged from each team post tournament weekend via Buku Events Instagram.
-
Coaches/Admin who have registered the team for the tournament must submit their Team MVP via the google form by the given deadline for Team MVPs to be included.
Tournament Recognition

Championship and finalist awards vary by tournament
-
All participants play for the pride of competition and the tournament experience
Schedule Changes and Communication
Schedule Updates

Official schedules will be posted on the Buku Events website linked to Tourney Machine website/app.

Schedule changes may occur due to weather, field conditions, or other unforeseen circumstances

Teams / Coaches are responsible for monitoring communications for updates

Team Responsibilities

Arrive at fields early to allow for warm-up time

Notify tournament staff immediately of any conflicts or issues

Ensure all team members and parents have access to communication channels
Liability and Insurance
Assumption of Risk
By participating in Buku Events tournaments, all participants acknowledge that lacrosse is a physical sport that involves inherent risks of injury. Participants assume all risks associated with participation.
Insurance Requirements

All teams must have an active USA Lacrosse Membership/Number for insurance purposes.

Proof of insurance must be provided at check-in.
-
Individual player medical insurance is the responsibility of each family.
Waiver and Release
-
All participants must sign their player waiver and release of liability via LeagueApps.
-
Parents/guardians must sign for minors.
-
Waivers are sent out from the coaches to join their teams that they have registered.
Buku Events Liability
-
Buku Events is not responsible for lost, stolen, or damaged personal property
-
Buku Events is not liable for injuries sustained during tournament play
-
Participants are responsible for their own actions and behavior
Governing Authority
Tournament Director Authority
-
The Tournament Director has final authority on all tournament-related decisions
-
Decisions regarding rule interpretations, schedule changes, and disciplinary actions are final
-
Concerns should be addressed through proper channels (see Contact Information)
Protests and Disputes
-
Final score cards for each game are signed by the coach of each team and the head referee at that respective field and the conclusion of each game.
-
Once all signatures on that score card have been received, the score is final.
-
Table staff is responsible for the keeping of the score throughout the game and recording the final score for both coaches and the referees to sign and finalize on the score card.
-
If a coach, or referee disputes the final score on the scorecard, they should not sign it and immediately contact a tournament director. The table worker, head referee, both coaches and tournament director will come together to discuss the dispute/protest.
-
No film of the game will be consulted to change the final score. This is due to the tournament’s need to continue to move the schedule forward and to honor the work of the table worker and referee who reported final scores.

The Tournament Director's decision on protests is final.
Rules Modifications

Buku Events reserves the right to modify policies and rules as needed

Significant changes will be communicated to registered teams in advance

Emergency modifications may be implemented without advance notice for safety reasons

Acknowledgment
By registering for and participating in Buku Events tournaments, all teams, coaches, players, parents, and spectators acknowledge that they have read, understood, and agree to comply with all policies outlined in this document, as well as the Refund Policy and Weather Policy.
Failure to comply with these policies may result in removal from the tournament and/or ban from future Buku Events.
